BOOKING CONDITIONS; FOR EVENTS ORGANISED BY
ADELANTA Events (Adelanta Travel Services Limited).
ADELANTA reserves the right at its sole discretion to reject an application if the Event is oversubscribed or if ADELANTA considers that any applicant’s products are not compatible with the theme of the Event.
The Applicant shall not use its participation in the Event to promote any goods or services other than those specified on the Application Form.
ADELANTA reserves the right at its sole discretion:
i) To withdraw its acceptance of the booking if the participation charge has not been received in full prior to the commencement date of the Event.
ii) To cancel or to change the date(s) and/or the venue of an Event.
In the case of ii) above, ADELANTA’s total liability shall be limited to refunding the participation charge or any part of it which has already been paid to ADELANTA by the Applicant.
Applications may be cancelled no later than one month prior to the Event . In the case of cancellation by the applicant, ADELANTA reserves the right to impose such charges as are necessary to cover costs incurred as a result of the cancellation. ADELANTA will attempt to re-sell the space but if unable to do so prior to the commencement date of the Event, the Applicant shall be liable for 100% of the participation charge.
Applicants may not assign their booking or sub-let space allocated to them without the prior written consent of ADELANTA.
ADELANTA reserves the right to determine the overall layout of the Event generally and the allocation of space to Applicants.
Upon acceptance of the Applicant’s booking, ADELANTA will provide each Applicant with deadline dates for the receipt of information required by ADELANTA to organise the Event. ADELANTA shall use reasonable efforts to accommodate any requests by the Applicant received prior to the deadlines but shall be under no obligation to accept or act on any information or requests received thereafter. ADELANTA requires each participant to complete a Risk Assessment Form and to provide details of Public Liability Insurance in the amount of at least £1 million. ADELANTA reserves the right to cancel an applicant's space if this paperwork is not received prior to the commencement of the Event.
Prices of all goods on sale must be clearly marked and plainly visible throughout the Event.
The deadline for setup is 30 minutes prior to Starting Time on the first day of the Event. If the Applicant has not set up their display by 30 minutes prior to Starting Time, ADELANTA Reserves the right to cancel the Applicant’s space with no refund of monies paid. Companies participating in the Event may not pack up their stalls prior to the stated finishing time unless they have obtained specific approval to do so from ADELANTA.
ADELANTA accepts no liability whatsoever for
a) any damage, loss or delay suffered by the Applicant caused by circumstances beyond the reasonable control of ADELANTA including, but not limited to, industrial action, fire, flood, riot, governmental or other regulation, civil commotion, malicious damage, terrorist acts, weather or Act of God; or
b) any loss, injury, theft or damage of any kind to any of the Applicant’s property.
The Applicant hereby indemnifies ADELANTA against all liabilities, costs, claims, demands, actions, damages or proceedings arising from damage to property or persons caused or alleged to have been caused by the Applicant.
The Applicant is advised to arrange appropriate insurance cover for participation in the Event.
